Front Desk Administrative Assistant

We are a luxury custom home builder and remodeler seeking a dedicated and polished Front Desk Administrative Assistant to join our team. This role is crucial in providing an exceptional first impression of our company and showroom, assisting three busy Kitchen and Bath Designers, and delivering outstanding service to our clients and visitors. 

Key Responsibilities: 

• Answer and direct phone calls professionally, ensuring exceptional customer service at all times. 
• Greet walk-in clients, guests, and vendors, making them feel welcome in our showroom. 
• Assist our kitchen and bath designers with various administrative tasks, scheduling, and organization. 
• Maintain and organize the showroom to ensure a clean, inviting, and professional atmosphere. 
• Perform general office duties including entering incoming leads, monitor inventory of samples, literature and information packets, and handling various types of correspondence, including monthly marketing items. 
• Assist with special projects or tasks as needed to support our high-end, customized services. 
Qualifications: 
• Previous experience in an administrative or front desk role is preferred. 
• Knowledge or interest in construction, remodeling, or design is a plus. 
• Strong communication and interpersonal skills, with a professional and polished appearance. 
• Ability to multitask, prioritize, and work efficiently in a fast-paced environment. 
• Strong attention to detail, organization skills, and a proactive approach to problem-solving. 
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with basic office equipment.

Administrative Assistant 
1) Design Center Assistant Functions 
Job Description 
2024 
A) Become familiar with all design center products and services 
B) Understand the Design Center tour 
C) Qualifying leads and determine who they need to talk to 
D) Guest registration cards 
E) Stocking literature 
F) Assist with keeping the Design Center tidy (clean up after appointments) 
G) Saturday rotation (Hours are 10:00-4:00) if applicable 
H) After hours functions - assist with setting up, cleaning up, etc. 
I) Assist the kitchen and bath designers as needed 
2) General Administrative Assistant Functions 
A) Answer phones and greet walk-in traffic 
B) Maintain Full Information Folders 
C) Pick up blueprints from Henco or other locations 
D) Open Mail, date stamp & distribute 
E) Data entry (BuilderTrend, lead spreadsheets, etc.) 
F) Send updated subscriber lists for newsletter & email blasts 
G) Dust & noise cards, etc. - Courthouse Retrieval System 
H) HS newsletter sidebar, postcard mailings 
I) Lunch and location for company meetings 
J) Keep up with birthdays - celebration & cards, etc. 
K) During & after hour's functions for Christmas, vendors, Chamber of Commerce, etc. – assist 
with setting up, cleaning up, etc. 
L) Zoom & Docusign support 
M) Marketing support 
N) Parcel deliveries - check in and distribute
